Non-profit Exhibitor Information

All non-profit exhibitors will register online at http://lsta.info/event-3418728.  When registering, exhibitors will be able to pay by credit card.  If you wish to pay by check, please complete the online registration form, print the form, and submit it along with your payment to the address provided on the printed form.  Please select the correct payment method when choosing your registration (Mail-in or Online payment).

Non-profit Exhibitor Registration

Additional tables, booth space, and memberships (for exhibit co-workers) are available at an extra charge. Information on how to request these as well as items available through the convention services provider, such as carpet and internet availability, will be sent to registered exhibitors. If you opt to bring a display board, please make sure that you secure sufficient space to set it up AND keep a required one-foot space open on both sides of your display.  You will be provided with two name badges per table for individuals working your booth for the 2019 conference.  An additional exhibitor badge can be purchased at a charge of $10 if only one table is rented.  All exhibit workers must wear a conference name badge.  NOTE: With the rental of each additional table, two (2) more free badges may be requested and one additional may be purchased for $10 during the online registration process.

The exhibit area has been reserved at the Baton Rouge River Center.  The Exhibit Hall will be open to participants Monday, November 4th, from 12:00 – 5:00 pm and Tuesday from 7:30 am - 3:30 pm. Security is provided during the entire conference, and entry into the Exhibit Hall will only be allowed with an official badge. 

Exhibitors will check in at the Exhibitor’s Registration table in the foyer of the Exhibit Hall on Monday, November 4, 2019, from 8:00 – 11:30 am. Please note that exhibitors must ship all exhibit materials to their hotels and transport them on Monday to the River Center. The River Center does not have space in which to store these materials and will refuse to accept anything shipped to them.

The exhibit area will formally open on Monday at 12:00 pm for the Conference Kick-Off sponsored by Carolina Biological. Light food will be served from 12:00-1:30 pm prior to the start of concurrent sessions at 1:40 pm. The Exhibit Hall will continue to be open through the concurrent sessions until 5:00 pm.

The Exhibit Hall will then open Tuesday, November 5th at 7:30 am prior to the start of the concurrent sessions at 8:00 am and will continue to be open throughout the day until 4:30 pm. We request exhibitors wait until 3:30 pm on Tuesday to dismantle the booths.

There will be a dedicated times for participants to visit the exhibit halls on both Monday and Tuesday.

Door Prizes:  Each year, our conferences are augmented by door prizes provided by our exhibitors. If you would like to include a door prize to be given away during the LATM/LSTA 2019 Conference, please check the appropriate box on your registration form.

Presentations:  We invite your company to present a session during the conference. To make the process simple, our program committee has set up a link to allow for online submission of proposals.

  1. Extended 3-hour presentations are on Monday, November 4th from 8:30-11:30 am. 
    Proposal deadline: June 14, 2019
  2. 50 minutes Concurrent Sessions are on Monday and Tuesday, November 4th and 5th
    Proposal deadline: August 16, 2019

Both links can be found at 2019 LATM/LSTA Conference Homepage. Using the links will help our program committee place the sessions on the same floor as the exhibit hall to allow easy movement of materials from the hall and minimize your time away from the exhibit area. There is no cost for sessions by companies exhibiting at the joint conference. Presenters will have to make their own arrangements for any equipment needs.

    Sponsorships: We are pleased companies have already reached out to take on the responsibilities of the Conference Kick-Off social, conference bags, and featured speaker travel accommodations. There are still several conference sponsorship opportunities available. 

    • Presenters’ Hospitality Room
    • Gifts for all conference participants (imprinted mugs, special conference pens, thumb drives, or other items  with conference or your company logo)
    • Sponsorship and naming rights of morning coffee break on Tuesday
    • Sponsorship and naming rights of Tuesday afternoon snack break
    • Sponsorship of Wi-Fi for the conference
    • Sponsorship of the plaques given to the Outstanding Educator Awardees at the recognition program
    • Conference shirts for the Planning Committee Members (which would include company logo/name)

    Conference Sponsors will be identified with a special decal at their booth in the Exhibit Hall as well as, on the websites of both associations before and after the conference, in the association newsletters, in the pre-conference mailout, in the conference program, in the registration area, and during the Outstanding Educator Awards recognition program. Please contact me for further information on any of the above or with ideas of your own on how your company might support the 2019 LATM/LSTA Joint Conference.

    Payment Information
    LATM and LSTA will be accepting online credit card and mail-in conference payments.  When registering for the conference, please notice that you can select ONLINE or MAIL-IN payment options.  Transaction fees are added for ONLINE payments, so please select the correct registration option. Checks should be written to "2019 LATM/LSTA Joint Conference".   

    Mail-in payments should be addressed as follows and should include a copy of the payment invoice:
